What is prorating for commercial vehicles?

Prorating is the process of calculating registration fees and taxes for multiple jurisdictions. Gold Key Registries offers prorated registrations to commercial carriers who are based anywhere in Alberta. This way, you don’t need to obtain and pay for commercial plates and registration in each jurisdiction.

To be considered for prorate registration, your commercial vehicles must travel outside of the Alberta to other provinces or to the US.

Prorate commercial vehicle registration fees are calculated by the percentage of the total distance travelled within each other jurisdiction. Alberta Transportation, Prorate Services centrally processes all applications for prorated registrations. When processing is completed Prorate Services provides the commercial carrier with a Fee Notice, which serves as a breakdown of the respective fees.

Gold Key Registry can collect the amounts specified on the Fee Notices and can issue the necessary plates, validation tabs, prorate registration and cab card. The cab card indicates the provinces and/or states in which travel has been approved and fees have been paid.

Permanent Fleet Program in Strathmore

Gold Key Registry offers a permanent fleet program within the province. To qualify, you must always have 10 or more commercial vehicles registered within the fleet.

If you qualify, you:

  • Have the option to register or renew your vehicles quarterly, semi-annually, or annually.
  • Have the option to choose your expiry date from March 31, June 30, September 30 or December 31, regardless of your last name or the name of the corporation. (Your registration must be over $500 per year).
  • You may group vehicles into separate fleets and have each fleet expire at different periods as long as there are at least 10 commercial vehicles in each fleet.

All permanent fleet program clients have a permanent fleet attribute added to their file. This is added by the Government of Alberta at the request of the registry. We must know how many commercial vehicles you have and want on the fleet.

You’re automatically set up on the registration system to renew on an annual basis with the registration expiry date of December 31, regardless of the last name or the name of the corporation. You can adjust to renew quarterly, semi-annually, or annually and choose from one of the aforementioned dates. Once an expiry date has been established, all vehicles in that fleet will expire on that date.

Keep In mind that no registration can be released if it is less than one full quarter (3-month term). A portion of a month (15 calendar days or more) will be considered a full month.

How to Renew Your Permanent Fleet in Strathmore

Renewing your permanent fleet in Strathmore is straightforward. Two copies of the fleet commercial vehicle registration renewal will be mailed to you. One copy is for you to retain and the other is the one you will use for your renewal.

You must:

  1. Confirm all commercial vehicle information is correct.
  2. Indicate all vehicle additions, deletions and/or modifications.

Permanent Commercial Fleet Inventory

Commercial vehicles under the permanent fleet program are issued a permanent fleet tab. This replaces the year tab on your commercial plate. The tab is black with “FLEET PR” on it. This tab does not need to be replaced every year. Month tabs are not issued for permanent fleet vehicles.

Commercial plates issued prior to joining this program do not have to be surrendered. Put the permanent fleet tab over the existing year tab and remove the month sticker.

You will be issued a registration certificate that will show the expiry date as “Continuous.” This certificate will not be issued annually. Instead, registration certificates will only be issued when:

  • It is the commercial vehicle’s first time being registered under the permanent fleet program.
  • If you change the vehicle weight.
  • If you change the vehicle colour.
  • If you change the use of the vehicle.
